Dental front desks lose appointments to hold music. A patient calls to book a cleaning, the line is busy or it's 7 pm, and the booking goes to whichever practice picks up. Closing that gap takes two things: a system that knows your real schedule, and a receptionist who never misses a call. NexHealth is the first. Receptive — the AI phone infrastructure that provides the receptionist — is the second. Together they're a front desk that answers every call and books straight into your practice management system — set up in minutes, with no code anywhere.

What NexHealth offers

NexHealth is a patient experience platform built around one hard-won capability: its Synchronizer connects to the practice management system (PMS) your office already runs — cloud or server-based — and keeps a live, two-way sync of everything a front desk touches:

  • Patients — records, contact details, new-patient registration.
  • Providers and appointment types — who works at your practice and what visits they offer.
  • The schedule — real appointments and real open slots, by provider.
  • Patient notifications — confirmations sent automatically when something is booked.

Because NexHealth presents all of this the same way regardless of the PMS behind it, anything built on NexHealth works with the major dental and medical record systems — and keeps working if you ever switch:

Cloud systemsServer-based systems
Dentrix AscendDentrix
DenticonDentrix Enterprise
Curve HeroEaglesoft
Cloud9Open Dental
AthenaPracticeWorks
NextGen OfficeOrthoTrac
Modernizing Medicine (ModMed)Dolphin
eClinicalWorks

NexHealth adds systems regularly; if yours is on this list, everything in this guide applies to you as-is.

What Receptive offers

Receptive is AI phone infrastructure — the platform that provides your practice an AI receptionist: an agent that answers your number 24/7 in a natural voice, holds a real conversation, and gets things done instead of taking messages.

  • Every call answered on the first ring — at 7 am, at lunch, after close, and while your front desk is with a patient.
  • A conversation designed around your practice. You describe how you want calls handled; Receptive's builder writes the greeting, the flows, and the answers to your common questions.
  • A builder that does the technical work. Connecting outside software is a conversation, not a project — you tell the builder what to hook up, and it writes, wires, and tests the connection itself.
  • Full visibility. Every call lands in your dashboard with a transcript and outcome, so you always know exactly what your agent said and did.

On its own, an agent like this answers questions, takes booking requests, and captures callbacks. What it can't do alone is see your schedule — and that's the piece NexHealth supplies.

Put them together: your schedule answers the phone

Connect the two and the agent stops working from notes and starts working from your PMS — like your best front-desk hire, on every call at once:

  • It recognizes returning patients. The caller's number is matched against your patient records, so the agent greets them by name.
  • It offers real openings. Availability comes live from your schedule, by provider and appointment type — never a guess, never a double-booking.
  • It books directly into your PMS. The appointment appears in your schedule immediately, and NexHealth notifies the patient.
  • It confirms and cancels. Patients calling about an existing appointment get it handled in one call.
  • It registers new patients with the details your PMS requires, so first visits start with the paperwork already done.

Your PMS stays the single source of truth; the agent is simply the person answering the phone in front of it.

What you need before you start

Three values from your NexHealth account (your office manager or NexHealth rep can pull them from the NexHealth portal in a few minutes):

  1. API key — proves it's your practice.
  2. Subdomain — identifies your organization.
  3. Location ID — NexHealth's number for each practice location.

That's the entire shopping list. If your practice isn't on NexHealth yet, they'll get the Synchronizer installed against your PMS as part of signup.

Deploy it

Click Deploy to Receptive on this page (or open your agent and tell the builder "connect NexHealth"). From there the builder does the work:

  1. It reads NexHealth's live API documentation — refetched at setup time, so it's always working from the current version of the API, even as NexHealth evolves it.
  2. It writes the integration for you — availability checks, booking, confirm/cancel, patient lookup and registration.
  3. It asks you for the three values above. The API key is stored securely and can never be read back out of Receptive.
  4. It runs a check against your real practice data and shows you what the agent can now do, in plain language, before anything goes live.

You approve it, and your agent can see your schedule. Setup is minutes, not a project.

Go live with confidence

Before pointing your published number at the agent:

  1. Call it yourself. Book a test appointment end to end and watch it land in your PMS schedule. Then call back and cancel it — the way a patient would.
  2. Try to trip it up. Call from a number it won't recognize, ask for a dentist who doesn't exist, ask for "tomorrow at midnight." It should recover gracefully every time.
  3. Start with overflow if you like. Forward calls to the agent only when the line is busy or unanswered — it catches exactly the calls you were already missing, and you can go to full-time answering once you trust it.
  4. Read your first transcripts. Every call shows up in your Conversations page with a full transcript and outcome, so you can see precisely how each booking happened.

A note on patient data

Appointment and patient records are protected health information, and the connection is built accordingly: it runs in an isolated environment that can only talk to NexHealth, your API key is write-only once saved, and Receptive never trains on your call data. The agent is also scoped to the job — booking a cleaning never involves clinical history; it touches the minimum the conversation requires.

NexHealth knows your schedule. Receptive answers your phone. Put together, every call is answered, every opening is offered, and every booking lands in your PMS — without adding front-desk headcount. If you're new to Receptive, start with Build your first AI phone agent and come back — deploying NexHealth is the last five minutes of that journey.
